Time Blocking in Benji
Group related tasks into focused time blocks for better productivity.
What is Time Blocking?
Time blocking is a productivity technique where you divide your day into blocks of time, each dedicated to accomplishing a specific task or group of tasks. Instead of keeping an open-ended to-do list, you schedule exactly when you'll work on each task.
Benji's time blocking features make this powerful technique easy to implement and maintain in your daily workflow.
Benefits of Time Blocking
- Reduces decision fatigue about what to work on next
- Minimizes context switching by grouping similar tasks
- Creates a realistic picture of what you can accomplish in a day
- Helps you allocate adequate time for important but non-urgent tasks
- Provides structure to your day while maintaining flexibility
- Increases focus and reduces distractions during dedicated work periods
Creating Time Blocks in Benji
Benji makes it easy to create and manage time blocks in your schedule:
- Open your weekly or daily planner view
- Click the "Create Time Block" button
- Set a title, duration, and color for your time block
- Drag the time block to the appropriate time slot
- Add tasks to the time block by dragging them from your task list
You can create different types of time blocks for various categories of work, such as "Deep Work," "Meetings," "Admin Tasks," or "Creative Time."
Time Estimation Features
One of the most powerful aspects of Benji's time blocking system is its integration with task time estimates:
- Add time estimates to your tasks (e.g., 30 minutes, 2 hours)
- See the total estimated time for all tasks in a time block
- Get visual warnings when you've scheduled more tasks than will fit in a time block
- Track actual time spent versus estimated time to improve your future estimates
This feature helps you create realistic schedules and avoid the common pitfall of overcommitting to more tasks than you can actually complete in a given time period.
Types of Time Blocks
Benji supports several different types of time blocks to accommodate various work styles and needs:
Focus Blocks
Dedicated time for deep, concentrated work on important tasks that require your full attention. These blocks are typically 1-2 hours long and should be scheduled during your peak productivity hours.
Admin Blocks
Time set aside for routine administrative tasks like email, scheduling, expense reports, and other necessary but less cognitively demanding work. These can be scheduled during energy dips.
Meeting Blocks
Time reserved for meetings, calls, and other collaborative activities. Grouping meetings together can help minimize the disruption they cause to your focused work time.
Buffer Blocks
Short periods between other blocks that provide flexibility for tasks that run long, unexpected interruptions, or quick breaks. These help keep your schedule realistic.
Recurring Time Blocks
For activities that happen regularly, Benji allows you to create recurring time blocks:
- Set blocks to repeat daily, weekly, or monthly
- Create templates for your ideal day or week
- Establish consistent routines for different types of work
- Easily adjust or reschedule individual instances of recurring blocks
Recurring time blocks are perfect for establishing consistent habits like "Morning Planning," "Email Processing," or "Weekly Review."
Integration with Pomodoro Timer
Benji's time blocks integrate seamlessly with the Pomodoro timer feature:
- Start a Pomodoro session directly from a time block
- Track completed Pomodoros within each time block
- Use scheduled breaks between Pomodoros for quick tasks from other categories
- See your focus metrics for different types of time blocks
This integration helps you maintain focus during your time blocks and provides valuable data about your productivity patterns.
